This statement explains how we handle your personal information, which cookies we use, and how you can manage your choices at any point.

Who we are

Hampshire Young Walkers is a Ramblers Association group for people in their 20s, 30s and 40s who enjoy walking, socialising, and exploring the countryside. We are part of The Ramblers Association (company limited by guarantee, registered in England & Wales). You can contact us at info@hantswalk.org.uk.

How we use your information

We collect and process personal data so that we can run the group safely, keep you informed about walks and events, and meet our legal obligations as part of The Ramblers Association. In particular we use your data to:

  • create and manage your online account and membership status;
  • process walk bookings, including attendance limits and cancellations;
  • send service emails about bookings, membership, and important group announcements;
  • keep our volunteer walk leaders informed about who is attending;
  • improve the experience on our website, such as remembering preferences or showing relevant content;
  • protect the website against spam and abuse (for example by using Google reCAPTCHA on sign-up forms).

The lawful bases we rely on are consent (for optional features like Google Maps), contract (so we can provide the member services you request), and legitimate interest (to keep the website secure and improve it).

Cookies and similar technologies

Cookies are small text files stored on your device. We group them into three categories. Essential cookies are always on because they keep the site secure and functional. The other categories are optional and will only load if you grant consent.

Essential cookies

These are set by our authentication system (Better Auth) so members can sign in, stay signed in, and keep their session secure. They do not store personal details beyond what is necessary for authentication and cannot be disabled.

Functional cookies

We rely on Google reCAPTCHA to protect the sign-up form from automated abuse, and on Google Maps to show event start locations visually. Both services set cookies once you consent to load them. Without consent, the sign-up form will display a placeholder and maps will be replaced with alternative instructions.

Analytics & marketing cookies

We do not currently run any analytics or marketing pixels on this website. If that changes we will update this notice and seek your consent first.

You can review or change your choices any time via the cookie preferences manager at the bottom of every page.

How long we keep data

Account information, walk bookings, and membership records are kept while you’re an active member and for up to six years afterwards to meet legal and insurance requirements. Log data and security information may be retained longer if needed to investigate incidents.

Sharing your information

We only share personal data with trusted services that help us run Hampshire Young Walkers—for example, our email provider or payment processors we may use in the future. These partners act on our instructions and are required to keep your data secure. We never sell your information.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate information;
  • request deletion of your account and data (within legal limits);
  • withdraw consent for optional cookies at any time;
  • complain to the Information Commissioner’s Office if you’re unhappy with how we handle data.

Staying up to date

We review this notice regularly and will post any changes here. If the changes are significant (for example, adding new cookies), we will let you know and ask for consent again.
